How to Tag

The Tagging Process

Each staff station will have the ELiMS Tagging software on it, so when new items arrive, staff can easily tag those items just as they arrive

Now Here’s How to Tag:

First set up a Central Tagging Location in the Library.  Each Station will have the ELiMS Tagging Software programmed onto the Computer, and each station will also have its’ own designated barcode scanner, RFID controller pad and antenna.

Make sure to Tag Books in the same order they were removed from the shelves.

Here’s how to Tag:

  • First Select the Tagging Button on the left side of the screen

  • Then select the option on the top left side of the screen that says “Tag”

  • Place an RFID tag on the controller pad then scan the barcode of the book

i.      Information to be encoded will appear on the screen

ii.      At the bottom of the screen the words “Armed” will appear to state the RFID Tag has been activated and is armed for security purposes

  • If you wish to verify that the information has been recorded onto the tag

i.      Select the option to “clear” information on the screen

ii.      Then select “verify”

iii.      The same information should appear on the screen to verify the item

has been tagged and armed

Note: This option is recommended for first few days of tagging process

  • Next take that RFID Tag and peel the liner off to reveal the adhesive

i.      Adhere the tag to the back inside cover of the book

ii.      Each tag should be placed approximately .5 inches away from the

book’s spine and around  1 inch from the base or

top of the book

i.      Each tag should be placed about 1cm away from the book’s spine and a minimum of 3cm from the base or top of the book

iv.  The pasting of the tag should follow the positioning as shown in the diagram below.

v. Each tag must be staggered at least 1 cm further than where the last tag was placed-see diagram below:

  • Place the instructions near each tagging station. Use the pictures a guideline for positioning
  • Place finished items in a pile on the opposite side of unfinished items and then load them onto the trolley in the same order they were retrieved to return to the proper shelf

Note:

  • Make sure you follow all steps, to make sure all items are tagged correctly
  • If you scan the barcode of an item during the tagging process and the item belongs to a different branch, place the item in the designated bin so the item can be returned and tagged at its’ home branch
  • During Tagging Process there will be items that are still checked out or at another branch. Thus, if Patron or staff is trying to check in/out an item and the item has not been tagged, the RFID controller will therefore not be able to read it. That will be a sign for a staff member to use the steps above to tag that item.

RFID Tag Information:

  • Remember that Sirsi or your LMS is still your back end system.
  • So the RFID tags will pull the following information from Sirsi during any of the ELiMS functions:
  1. Item Code
  2. Branch ID
  3. Sort code
  4. Call Number (1st 4 digits of Call number is Sorting code)

**Remember: Volume numbers must be mannually input since Sirsi does not already have that information

**And all tags are up to ISO standard, when NEW ISO Standard comes along, simply update tags upon check-in/out process (NOT NEED TO RE-TAG EVERYTHING)

**Tagging module can support 1 tag at a time.

  • Books must be 4-6 inches away from the reader.
  • If stacks of 10 books are close to the reader, the frequency will be so great that it will read the stack of books.
  • KEEP BOOKS AWAY FROM READER!!! For instance: If books are kept below the reader, then they will be read along with those books on the reader. Steel or metal will shield the tags if sitting below the reader.
