Check-In/Shelving
ELiMS “Shelving” Function
Note: Staff should ALWAYS use Shelving For RETURNS
Staff Station:
- Take returned items to your desired sorting location
i. Since all your PCs will have this function, it will just depend on
where is most convenient for the staff
Step 1:
- First right click to open the “Staff Station” icon on your desk top
- On the Main Menu screen click the “Arm/Disarm” Module to return the items
NOTE: The Shelving module should be defaulted
Step 2:
- Place a maximum of 3 items AT THE SAME TIME on the RFID controller pad OR within a 10-20 second time frame
- On the right side of the screen you’ll see the “shelving button” with a red number next to it
- The red number shows you how many items you are sorting/the number of items that have been read by the RFID antenna pad
Step 3:
- Once the RFID tag is read, the items information will appear showing:
- Item Code
- Title
- Branch (if no branch appears then it belongs to that branch)
- Sort Code (Sort Code = call number it will sort items based off Sirsi and the RFID Tag and will tell you which section in the Library the items belongs to)
- Remarks.
- Then the screen will display “Items have been processed” in Red letters
- When branch like “Smyrna/Linebaugh appears” it means it belongs to that branch
Step 4:
- If the item belongs to that branch and there are no exceptions (holds), then a message will appear stating “Item has been processed;”
- Meaning that all items are now armed and ready to be shelved
- At the bottom of the screen AND in the remarks sections the screen will say “Material discharged, reshelve”
BOOK MOBILE
- While Checking-In Book Mobile Items, you’ll notice the SORT Code will display: BKMO
- However they will contain the SAME Branch Code as Linebaugh: 000
- For Example:
NOTE: On the Staff Station, You can process the Book Drop Returns as the Day Before (View Picture for example)

Self-Check Station
Step 1:
- Go to the Self-Checkout Module {Right click to open the short-cut icon on your desk top}
Step 2:
- The screen should state “Touch here to borrow”
- Close out of that screen by hitting the “X” button on the top right corner
- This will make the screen below appear, then select the Arm & Disarm button
Step 3:
- The “shelving” function on the right should be autatically be selected
- Now simply repeat the same steps as the Staff Station listed above
Trouble Shooting:
***VERY IMPORTANT
FOR ITEMS IN TRANSIT WITH HOLDS
ALL ITEMS SHOULD BE RETURNED USING THE ELiMS SHELVING MODULE
- However when an item is discovered to be in Transit AND has a Hold…
- Follow your normal procedures by discharging the item in Workflows
- Then, once the item is at the Final Destination, discharge the item once again through WorkFlows……
- Go into the ELiMS system -> Select the Arm-Disarm tab, then place the item(s) over the pad and select ARM
Transits:
- When returning an Item in Tranist-the alarm will sound and the letter “E” for exception will appear under Item code , notifying that it’s an exception.
- ELiMS will then discharge the item first an dkeep it in transit.
- Staff should then place the item(s) in the correct transit bin
- When at the HOME Location, staff should place the item on the pad and select the shelvig module
- This shouls then discharge the item then take it out of transit

- Once the item arrives at its original branch, staff will then check in the item via the Shelving Module (shows exceptions).
- If a Hold has been placed on the item, a Hold Receipt will print (only if at home branch) and stick it in the book before it is placed on the Hold Shelf.
After an item is identified to be on “hold” a receipt will print, AT the HOME LOCATION
Note:
- The sorting function is useful to identify if an item is on hold or is in transit-
- When an item is in Tranist or on Hold an alarm will sound and the words will flash appear in Red alerting staff to place item in reserved section
- It will also show which location to return the book to based off of the items sorting code (i.e. fiction, nonfiction, etc.)
- Shelving can confirm an item’s loan cancellation
